Robotic Process Automation for upkeeping Accounts & Invoice Records

One of the leading manufacturing companies needed a reliable solution for handling the invoices which are getting transmitted through Emails. We offered an automated approach using data extraction through a UI path capable to read PDF files attached to emails. Apart from the UI path, the front end is based on "React Native" & back end is based on "Python" which makes it capable enough to handle the invoices without any human interference.

The client needed a robust system that can handle the invoices without room for human error.


Challenge :

  • The first challenge was to create a system that can scroll the emails and read the attached invoices. The system should have the capability to list out multi-users or multi-invoices for a single filter in a single command.
  • Further, the system could read the invoice for details like Company Name, Invoice Amount, Payment Due Date, and Invoice Number.
  • As the team was working on these aspects the client asked us to upgrade the filters for Product Names and list the details like the amount of invoice for a particular product.

Solution :

  • After extensive research, we took the UI Path method as the concept for building an automation solution.
  • Developing a solution to read emails for attached invoices and extract the desired value that can be sorted or presented in an Excel Sheet.
  • Post Data extraction, the data flows through different filters that can sort or present the desired values in an Excel Sheet.
  • The filters can be initiated to define data according to the Company Name, Product Name, Invoice Amount, Due Date, and Invoice Number.

Outcome :

  • The integration of an automated RPA solution has resulted in saving 100 man-hours a month which is equivalent to the consumption of two full-time employees.
  • The automated process leaves no room for an error that was common in manual processes.
  • The automated process is capable of generating accurate results in the blink of an eye, unlike manual processes which used to consume hours.
